Registration & Practicalities

On this page you can find information on how to register, how to find accommodation in Helsinki and how to make the best out of this conference.

Please read through the instructions carefully and do not hesitate to ask if you have any further questions.

Registration

Registration for observers
Observers not presenting a paper are welcome to take part in the conference. Please register for the conference by filling in the online registration form by 20 October. When registering you will be required to pay the registration fee, which is 25 €. The payment can be made using all major credit cards (Visa, Mastercard, American Express, Maestro) or with Finnish online banking services. The registration fee includes admission to scientific events (plenary sessions, panel and roundtable discussions) of the conference, conference materials, free Wi-Fi and coffee/tea during the breaks listed in the programme. Unfortunately this payment category doesn't include admission to the evening receptions. In the case of cancellation, regrettably, we will not be able to offer refunds .

If you need to cancel your participation or make changes, please contact the conference organisers at fcree-aleksconf@helsinki.fi as soon as possible so that we can introduce changes to the programme. Regrettably, we will not be able to offer refunds.

Visa invitation / Certificate of acceptance

If you need a certificate of your acceptance to the conference, please contact conference organisers. If you need a visa invitation letter, please contact conference organisers at fcree-aleksconf@helsinki.fi after you have registered. Please note that the conference secretariat will be on holidays in July 2019.

Conference venue

The Aleksanteri Conference 2019 venue is the "Metsätalo" (Forest House) of the University of Helsinki, which is also the headquarter of the Faculty of Arts. It is located in Helsinki City centre in about one kilometer radius from the hotels we are recommending, from the main railway station, from the main bus terminal and from the harbor.

Guidelines for sessions

Panel sessions will last 90 minutes each and shall be structured as follows:
Oral presentation: 15 min (in panels with 4 papers) or 20 min (in panels with 3 papers)
Discussant’s comments: 10 min
Q&A: 20 min

The chair will introduce the panel and its participants, proceeding to make sure that time is allocated equally between individual presenters. The discussant will have 10 minutes to give their comments after all panellists present their papers.

The papers will be circulated amongst the panel chairs and discussants prior to the conference, at latest 10 October 2019.

Roundtables will also last 90 minutes. Please be mindful of time constraints so that we can achieve a fair allocation of time between participants.

The working language of the conference is English. Unfortunately, no translations can be provided.

There is a PC and projector in every lecture hall.

Guidelines for the poster session

The poster session will be held on 24 October 2019 from 15:00-16:00 at the Metsätalo 3rd floor lobby. Participants need to bring their own posters (size A1) with them. Conference organisers are not able to provide printing services.

Each presenter will be given a poster rack where they can place their poster. Presenters will be asked to mount their posters on the first day of the conference, 23 October, and no later than 12 (noon) on 24 October. Posters will then remain up for the duration of the conference so that other participants can browse displays freely during the various coffee and lunch breaks. Posters can remain in place over night.

The jury invited by the Conference Committee will consist of judges representing various disciplines. Dr. Andrey Indukaev, the Conference Coordinator, will chair the Judging Committee. The award for best poster will be announced and presented at the closing ceremony.  The prize for the best poster is a three-night hotel stay and fee waiver for next year’s Aleksanteri Conference.

Assessment

 Posters will be assessed based on three general categories:

  • Academic quality (research problem and results)
  • Display/design (effective use of the format)
  • Presentation (oral) – this includes a short three minute 'elevator pitch’ and a short question-answer period.

A good poster presents excellent research in a visually appealing manner. The presenter is able to summarise the main ideas ('elevator pitch') and answer additional questions on the topic.

Judges will circulate during the poster session, talk to presenters and assess posters using a scale developed by the Conference Organizing Committee. The winning poster will be named at the closing ceremony of the conference.

Accommodation

Participants are requested to make their own arrangements for travel and accommodation, as well as cover their own costs related to participation. We recommend booking your accommodation early as hotels in Helsinki will be very full throughout the whole autumn due to Finland's presidency of the Council of the European Union.

The conference organisers have secured block bookings at nearby hotels in different price categories for conference participants. If you would like to reserve accommodation on the basis of these agreements, we ask you kindly to book your accommodation well in advance because there are quotas and deadlines for each accommodation. There are naturally plenty of other options in addition to those listed below.

Hotel Arthur, Vuorikatu 19, offers single rooms at 115 euros/night and double rooms at 125 euros/night. The room rates include accommodation, buffet breakfast, wifi and VAT. Reservations by e-mail at reception@hotelarthur.fi. Please mention the code ‘Aleksanteri2019’ when booking. Reservation at these prices can be made until 22 September at the latest.

Hotel Scandic Kaisaniemi, Kaisaniemenkatu 7, offers single rooms at 138 euros/night and double rooms at 158 euros/night. The room rates include accommodation, buffet breakfast and VAT. Reservation at these prices can be made until 8 October at the latest.

Solo Sokos Hotel Torni Helsinki, Yrjönkatu 26, offers single rooms at 142 euros/night and double rooms at 162 euros/night. The room rates include accommodation, buffet breakfast, wifi and VAT. Töölö Towers, Pohjoinen Hesperiankatu 23 A (about 2 km from the conference venue) offers single rooms with breakfast at 95 euros/night or one bedroom apartments for two persons at 144 euros/night. Reservations by email at sales@unihome.fi. Please mention the code ‘Aleksanteri2019’. Reservation at these prices can be made until 22 September at the latest.

Eurohostel, Linnankatu 9, offers hostel-style accommodation situated at about 1,5 km distance from the conference venue. Please check for available options at http://www.eurohostel.eu/ and make your booking online.

Good to know about Helsinki

Helsinki is the capital of Finland with more than 650 000 inhabitants in the City of Helsinki and close to 1 250 000 in the Greater Helsinki Area. It is a safe & lively city with great infrastructure including easy and reliable public transport. 

Weather in Helsinki can be unpredictable in October, so please check in advance and prepare for anything from +12°C to -5°C — with or without snow!

Electricity: In Finland the power sockets are of type F. The standard voltage is 230 V and the standard frequency is 50 Hz.

Water: Tap water in Helsinki beats most bottled waters. You can refill your bottle anywhere. It's a safe and ecological choice.

Trains

There're direct trains to the Central Railway Station. Just hop on either the I- or the P-train and get off at the last stop. The station is right in the city centre, near the University's City Centre Campus and its main conference venues.  

The entrance to the train station is located in the corridor between the T1 and T2 terminals.

You'll have to buy a regional ticket before getting on the train as tickets aren't sold on the train. Tickets are available from:

  • HSL ticket machines (at the train station entrance in the corridor between the T1 and T2 terminals, in the baggage claim hall in T2 and at bus stops)
  • Alepa grocery store
  • WH Smith kiosks (T1 and T2 Departures hall)
  • R-kiosks (Arrivals hall 2A in T2)
  • Tourist Info (Arrivals hall 2A in T2)

When using the ticket machine, please select the option "regional ticket" for journeys between the airport and Helsinki.

The Central Railway Station is the final stop. 

Buses

The Finnair City Bus operates between the Central Railway Station and the airport.

The bus 615 also serves the airport.

The bus stops for both arriving and departing buses are located in front of Terminals 1 and 2.

Taxis

A taxi from the airport to the city centre takes about 30 minutes. The taxi stands are located right outside the arrival areas of the terminals.

Ar­riv­ing on a ferry

Olympia Ter­minal

Olympia Terminal is located at the South Harbour and there is a regular passenger ship link to Stockholm, Sweden. The terminal has an ATM, luggage lockers, a trolley rental, a restaurant, kiosk, and the Tallink Silja service point. Trams 2 and 3 stop next to the Olympia Terminal.

West Ter­minal 1

West Terminal 1 is located at the West Harbour and it serves ferries to and from Tallinn, Estonia. There is also a regular passenger ship link to St. Petersburg, Russia. The terminal has luggage lockers, a restaurant, café, kiosk, an ATM, money exchange office (open when the St. Petersburg ship is there) and the Eckerö Line, St. Peter Line and Tallink Silja Oy service points. Trams 7 and 6T stop at West Terminal 1.

West Ter­minal 2

West Terminal 2 is located at the end of West Harbour. There is a regular passenger ship link to Tallinn. The terminal has a restaurant, café, ATM, Tallink Silja and Eckerö Line service points. Trams 7 and 6T stop at West Terminal 2.

Kata­jan­okka Ter­minal

Katajanokka Terminal is located at Katajanokka, with a regular ferry connection to Stockholm and Tallinn. The terminal has a restaurant, kiosk, a money exchange, an ATM, luggage lockers, and the Viking Line service point. Trams 4 and 5 stop next to the Katajanokka Terminal.

Travel around Helsinki

Trams, buses, metro, com­muter trains and ferry to Suo­men­linna

The Helsinki region has an integrated public transport ticket system. This means that the same tickets can be used on buses, trams, the metro, commuter trains and the ferry to the Fortress of Suomenlinna (a popular place to visit whilst in Helsinki).

You can travel around the city with single tickets or with a day ticket. The tickets available on single-charge cards allow you to travel easily and at low-cost for 1–7 days. They are sold e.g. at the Helsinki City Transport service point in the Central Railway Station or at R-kiosks.

Please note that bus drivers sell tickets, but for tram and commuter train journeys tickets must be bought before boarding, for instance at ticket machines or R-kiosks. There's also a mobile application, which you can use to buy tickets.

City bikes

You can also whizz around on one of Helsinki's yellow city bikes.

Taxis

Taxi stands are located throughout the city centre.
